Auto Schedule App Documentation

Installation

Installing the Auto Schedule app is incredibly simple and follows the standard Shopify process.

Simply find the app on the Shopify app store and click the ‘Add app’ button.

Opening the app

Once installed, there are several ways to find and start using the app.

The most obvious route is to simply go to “Apps” in Shopify’s back office and click on the Auto Schedule app from there:

Opening the app from here will take you to the main dashboard screen where you can search for products and see the status of each of your products at a glance.

The app can also be found in the ‘More actions’ menu of the product listing section:

This will also take you to the main dashboard screen.

If you would like to schedule a specific product, the easiest method is to open the “More actions” menu in a specific product and then click “Schedule Publishing”. This will take you directly to the scheduling screen for the product you were on:

The main dashboard screen is where you can search for products and see the status of each of your products at a glance. You can then ccess and edit the product’s schedule by clicking the “Edit schedule” button next to the product.

You can search for products using the handy search bar. Simply enter the name of the product you wish to find and it will be filtered in the list. Show all the products again by removing the search term from the search bar.

To move between pages of results, use the previous and next arrow buttons at the bottom of the screen.

For each product row, you will see it shows a “Publish at” date and time, and a “Remove at” date and time. These are the dates and times the product is next scheduled to be published and removed.

You will also notice that we show a “Status” for each product. Each product will have one of the following statuses:

Published - the product is available on the online store

Unpublished - the product has been removed from the online store

Each product can also have one or both of the following statuses:

Scheduled to be published - the product is scheduled to be published at some point in the future

Scheduled to be unpublished - the product is scheduled to be unpublished at some point in the future

If you would like to open the product in Shopify, then you can click the product’s name. This will open the main Shopify backoffice product page in a new tab, so you can continue with whatever you were doing with the app.

Scheduling a product

The product scheduling screen is where you can set the publishing schedule for a product. For your convenience it also shows the current published status of the product and the next 10 scheduled events.

Setting the publish date and time

To set a date and time to publish a product, you must first check the checkbox next to “Publish at” to confirm you wish to set a publish date and.

Next, you can select a date from the date field. Please note that the format for dates is YYYY/MM/DD.

Finally, select a time from the time field. The format for time is HH:MM.

If you wish to make a manual adjustment to either the date or time fields, then you are free to do so.

Please note that if you are only selecting a date and time to publish a product, and not to unpublish, then you will not be able to select a “repeating” option.

Please also note that previously the app would automatically unpublish if you scheduled it to publish. This functionality has now been removed.

Setting a removal date and time

To set a removal date and time for a product, you must first check the checkbox next to “Unpublish at” to confirm you wish to set an unpublish date and.

Next, you can select a date from the date field. Please note that the format for dates is YYYY/MM/DD.

Select a time from the time field. The format for time is HH:MM.

Next, you will need to select whether you are removing the product from online store sales channel or completely deleting it.

The difference between these two options is as follows:

  • Remove from online store sales channel - this is the most commonly used option. At the date and time you specify, the product will be removed from the online store sales channel. However, the product will still remain in Shopify but your customers will simply not be able to purchase it. With this option, you can still bring the product back in the future if you wish. Please note, the product will remain for sale on Facebook, buy now button or any other sales channel.

  • Delete - at the date and time you specify, the product will be completely deleted from Shopify. You will not be able to bring it back once it has been deleted.

If you select to delete a product, you will be presented with a popup asking if you are sure you want to delete it.

Please note that if you are only selecting a date and time to unpublish a product, and not to publish, then you will not be able to select a “repeating” option.

Please also note that previously the app would automatically publish if you scheduled it to unpublish. This functionality has now been removed.

Setting a repeating schedule

If you have selected both a publish and unpublish date and time for the product, and you have not selected “delete” as the method for unpublishing, then you will have the very powerful option for setting a repeating schedule.

The app will automatically set your schedule to repeat depending on the option that you select.

The following repeating options are available:

Daily

Product will publish/unpublish and at the time selected every day.

This option is not available if there is more than 24 hours between the publish and unpublish times.

Weekly on [day of week selected]

Example: Weekly on Friday

Product will publish/unpublish every week on the day/time selected.

This option is not available if there is more than 7 days between the publish and unpublish times.

Monthly on the [day occurrence selected] [day of the week selected]

Example: Monthly on the fourth Friday

Product will publish/unpublish monthly on the day/time selected.

This option is not available if there is more than 28 days between the publish and unpublish times.

Annuay on [date selected]

Example: Annually on May 22

Product will publish/unpublish annually on the day/time selected.

This option is not available if there is more than 364 days between the publish and unpublish times.

Every weekday (Monday to Friday)

Product will publish/unpublish every weekday on the time selected.

This option is not available if there is more than 24 hours between the publish and unpublish times.

Custom...

Selecting will open the custom options popup. 

Custom repeating schedule

If you select “Custom” from the repeating dropdown, the custom options popup will be displayed.

Here you can select any number you wish and a timeframe.

For example - every 2 days, every 3 weeks, every 4 months or every 5 years.

You can also select when the schedule ends, which can either be an exact date or a number of occurrences a schedule has run.

If you select week (e.g. every 3 weeks) you then also have the option to select which days of the week it should run (e.g. every Monday, Wednesday and Friday).

If you select month (e.g. every 4 months) you then also have the option to select where it should repeat on the same date (e.g. monthly on day 21) or day (e.g. monthly on the 3rd Friday).

If you need to bring a product back for sale

After a product has been removed from sale on the online store sales channel, it is perfectly possible to bring it back.

To bring it back, navigate to the product as you normally would in Shopify’s admin.

Once in the product, click the ‘Manage’ link in the ‘Product availability’ section.

A popup will appear. Simply re-tick the ‘Online store’ option, click Done and then save the product.
